Virtual Office and Registered Business Address
A workable virtual office in Thailand is not a mailbox. It is an address backed by a genuine lease, room for your signage, staff who receive official letters, and a door an officer can walk through. This bank answers what owners ask before they commit: what the DBD accepts, how the tax file behaves, when VAT registration passes, and where the honest limits sit.

Getting the basics right
How does a virtual office differ from renting a real office?
The difference is the right to occupy space, not the legal status of the address. A leased office gives you the room full time. A virtual office gives you the right to use the address as your place of business plus whatever shared facilities the agreement covers. Either can support registration when the right-to-use evidence is clean, but the monthly cost and the ability to seat staff are very different.
Which businesses fit this kind of address?
It suits teams that work from anywhere, consultancies, online service providers, exporters, and foreign companies setting up a first Thai base before they know how much space they need. It does not suit shopfronts, warehousing, kitchens or machinery, because the activity will not match the registered premises — and that mismatch is the first thing an officer notices on a visit.
Is using such an address lawful?
It is lawful as long as the address really is the place of business you declared, you hold the right to use it, and someone can be reached there. Problems come from declaring premises you have no right to use, or premises where nobody handles official letters — in that second case the letter counts as delivered under the law even if the owner never saw it.
How long is the commitment?
Most engagements run on a yearly cycle aligned with the accounting year and licence renewals, because moving mid-year triggers change notifications to several agencies at once. Where a client is waiting on a permanent space we run a shorter term and map the move in advance, including who must be notified and within how many days.
Company registration and the DBD file
Can a new company be registered at a virtual office address?
Yes, provided the filing carries evidence that you may occupy the premises: a consent letter from the owner or lessor, a copy of the title document or lease, the consenter's ID copy, and a location map. Every line of that set must state the address identically, down to the unit and floor, because the registrar compares the wording literally.
What does moving an existing company to a new address involve?
You need the resolution your articles require, then file the change of registered office with the DBD, update the tax registration with the Revenue Department, and — if VAT-registered — file the amendment that produces a fresh PP.20. What usually slips is telling the Social Security Office, the banks, and the suppliers who invoice you, leaving purchase tax invoices that no longer match the register.
Will the company affidavit show this address?
It does — the registered office appears on the affidavit, so banks, counterparties and agencies will see it as the company's seat. Choose a building you can explain when asked, and keep photographs of the signage and entrance on file for the moments when someone requests extra proof.
Can several companies share one address?
Yes, and it is ordinary in serviced buildings — but each entity needs its own right-to-use evidence, an identifiable unit, and its own nameplate. What draws questions is dozens of names stacked at one point with no space behind them, which is enough to fail a premises inspection.
VAT and the premises inspection
Does VAT registration go through with this address?
It passes when you can show real activity at the location. Revenue officers weigh the right-to-use evidence, the signage, whether the space fits the declared activity, and whether a responsible person is reachable. We assemble that evidence beforehand and schedule the visit for a day when someone is present, rather than leaving an officer at a locked door.
What does an officer actually look at?
What gets recorded is the name at the entrance, the space measured against the declared activity, the right-to-use paperwork, and the person who can answer on the day. Photographs often go into the report. With nobody able to explain how the work happens, the application can be parked pending further documents, adding weeks.
What if VAT registration is refused because of the address?
Start by getting the recorded reason in plain terms, then fix the cause: add permanent signage, redraft the agreement so the usable area is explicit, have a responsible person present at the new appointment, or move to space that matches the activity better. Then refile with a photo set and a written description of how the work is carried out.
Can tax invoices be issued from this address?
Yes, once registration is complete — and the address printed on the invoice must match the tax register character for character, including the head-office or branch marker. A mismatch can put the buyer's input VAT in dispute later, so we align the invoice template with the PP.20 as soon as a new one is issued.
Foreign staff, licences and banking
Can a work permit be obtained at this address?
Often yes, but the Department of Employment looks deeper than a registry filing because it must see where the foreign employee actually works. It typically reviews workplace photographs, the Thai headcount, registered capital and whether the role makes sense. We assess the whole file first and say plainly which kind of space will get it approved in one pass.
Will a bank open a corporate account?
Usually yes, though banks ask for more when the address hosts several entities: workplace photographs, the lease, and an interview with a director about the nature of the business. Getting every document consistent from the start cuts the rounds of follow-up requests that are the main cause of delay.
Does it work for sector licences?
It depends on the licence. Anything with physical requirements — food, medical devices, warehousing, or premises subject to hygiene inspection — cannot sit on this kind of address. Service activities with no physical criteria usually clear. We read the licence conditions before choosing the address so nobody has to move twice in year one.
How should a foreign company with no Thai staff start?
Define the activity you will carry out in Thailand first, then match the address to it — the reverse order is what causes repeated registry amendments. Once the activity is clear we can say whether a person must be on site, whether VAT should be taken up immediately or at the threshold, and what to budget for space in year two.
Day-to-day use and honest limits
How do official letters reach us?
The on-site team logs what arrives, scans the envelope and, for official correspondence, the contents, then alerts the responsible person the same day. Originals are held for collection or forwarded as agreed. It matters because letters from the Revenue Department and the courts carry short reply windows — learning about one a week late has a real price.
Can we hold meetings or receive clients there?
Yes, within the meeting-room hours in the agreement, with extra bookings available for longer sessions. The format fits occasional client meetings and the annual shareholders' meeting; it is not designed as a daily desk. Once the team starts coming in regularly, a dedicated space is the cheaper answer.
What happens to the registered address if we stop the service?
The registered office must move before the agreement ends, because leaving an address on the register you no longer have rights to sends official letters somewhere nobody collects them. We schedule the exit in advance: the resolution, the registry amendment, the tax notifications, and the address change on the documents you issue to customers.
Why do some providers quote far less?
A much lower quote usually reflects what is left out: no nameplate for your company, nobody present for an inspection, no alert when official mail lands, or no right-to-use evidence that an agency will accept. Those costs return as refused applications and missed deadlines, which is why we quote against a scope you can check line by line.
